About us

TasPorts is a state-owned company responsible for ten Tasmanian Ports and the Devonport Airport. We run a diverse range of operations across the state with the purpose of facilitating trade for the benefit of Tasmania, through the commercial provision of infrastructure and services. 

The role

The purpose of this position is the provision of high level administrative, secretarial and general support services to the Chief Operating Officer & Group Executive Growth.  The position will additionally be required to provide secretarial and administrative support to the Growth and Operations Leadership team and their respective teams.


Key responsibilities include

  • Provide innovative solutions focussed secretarial and administrative support to the COO & GE Growth and the Growth and Operations Leadership team;
  • Provide Office Management to the COO & GE Growth and the management team of the Growth and Operations Division
  • Manage the communication flow for the COO & GE Growth as required including review day-to-day verbal and written requests and ensure they are responded to in a timely and appropriate manner;
  • Undertake effective diary management for the COO & GE Growth; 
  • Support internal and external communications activities including content for the intranet and website;
  • Provide executive and project support by undertaking research, analysing data and producing summaries, recommendations and reports;
  • Monitor and co-ordinate timely responses on Divisional matters by liaising with senior management and support staff;
  • Development of internal communications templates, documents and presentations and ensure appropriate records management as a Divisional Content Manager power user;
  • Coordinate and provide timely and efficient secretarial support for meetings, workshops and forums including team workshops;
  • Prepare and coordinate Board, and Executive contributions for the Division;
  • Create reports and presentations for use by Senior Managers;
  • Administer purchase orders and receipt of goods and operate as the travel coordinator for the Growth and Operations team as required;
  • Provide support and relief services to the Executive Assistant to the CEO as required; and
  • Other duties as required in accordance will qualifications and competence.


To be successful you will hold

Possession of a current Drivers’ Licence.

Possession of or progression towards a business administration/office management qualification a Maritime Security Identification Card (MSIC) or ability to obtain.


Ideally you will be able to demonstrate:

Proven experience in providing administrative and secretarial services at an executive level.

Demonstrated capacity to assess priorities, plan workloads and work effectively under pressure to meet stringent deadlines.

Proven ability to display high level interpersonal skills together with the ability to communicate effectively with all levels of management, staff and stakeholders.

High level skills and extensive experience in the use of Microsoft Office and other software applications, specifically MS Outlook, MS Word, MS PowerPoint, MS Excel and Document Management systems. Proven experience at improving efficiency and effectiveness through technology, processes and systems. 

Highly developed communication, negotiation, and conflict resolution skills.
