The Personal Assistant is responsible for ensuring effective administration processes are conducted for the CEO in particular and the members of Executive Group in general. The role proactively actions coordination of procedures such as meeting coordination, travel arrangements, project management and monitoring, etc as well as drafting communications on behalf of the CEO, while ensuring the timely completion of all allocated tasks.

The incumbent of this position will be responsible for: 

  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Manage information flow in a timely and accurate manner.
  • Manage and set up executive meetings, seminars, conferences or similar functions.
  • Make travel and accommodation arrangements.
  • Collate expenses and prepare weekly, monthly, or quarterly reports.
  • Oversee the performance of other clerical staff.
  • Format information for internal and external communication, such as memos, emails, presentations, and reports.
  • Maintain secure and accurate record keeping requirements.
  • Screen and direct meeting requests, phone calls, as well as distribute correspondence, etc.
  • Organise and maintain the office filing system.
  • Liaise with AEMG China staff and delegations, including manage their travel arrangements if required.
  • Conduct regular follow-up with managers to determine the effectiveness of plans and implementation.
  • Prepare communications on behalf of CEO or members of the Executive Group.
  • Answer phone calls.
  • Develop a pool of resources in advance of need, for event development and management, etc.
  • Other tasks assigned by the Executives.




• Tertiary qualification. 


• Professional writing and verbal skills in both English and Chinese.


• Substantive experience in working and with executive staff for the provision of high calibre business support.

• Demonstrable experience in dealing with executive resources management and management across international partnerships, offices, and engagement functions at senior level.

• Substantial experience in providing high level of customer service.

• Experience in organising workshops, seminars, conferences, or similar functions.

Skills and Knowledge:

• High levels of organisation and time management skills.

• Ability to act without guidance.

• A sound understanding of the current administration issues and trends within transnational higher education.

• A friendly professional manner with excellent written and oral communications skills.

• Proven ability to interact effectively with a wide range of people, to maintain confidentiality and to apply discretion and tact at all times.

• Organisational skills of a high order, with demonstrated ability to prioritise tasks, meet deadlines and administer an expanding program.

• Competence in using MAC OS X, Microsoft Office, Adobe Acrobat and related software.

• Accurate typing skills.

• Excellent record keeping and data entry skills.


• Commitment to fostering a culture of inter-disciplinary team working and collegiate approach.

• Excellent written and oral communication skills, with the ability to communicate complex issues with clarity to a wide range of audiences and across cultural boundaries.

• Demonstrated ability to work under pressure and juggle competing demands simultaneously.

• Ability to work effectively both independently and as a member of a small team, showing initiative, flexibility, accuracy and a can do attitude.

• Excellent interpersonal skills and a team player with the ability to earn the respect of colleagues, influence and persuade others and form mutually beneficial relationships.

Travel: The role is primarily based in Melbourne Australia; domestic and international travels may be required within the constraints of domestic and international border restrictions.
