The Anglican Diocese of Bunbury is seeking an Executive Assistant to assist in a busy small office with a team of three/four other staff administering the Diocese.
Summary of Responsibilities:
The Executive Assistant provides administrative support to the Bishop, Archdeacon, and Diocesan Secretary and undertakes general administrative duties in support of the wider Diocesan Office team.
Description of Duties:
SUPPORT TO THE BISHOP
- Provide updates for the Anglican Church of Australia directory of clergy
- Prepare and record licenses, declarations, letters of Holy orders, and Permission to Officiate
- Handle requests for authorization of the marriage of divorced persons
- Handle requests for authorization of marriage outside a church building
- Handle requests from clergy based outside the diocese
- Prepare and distribute the diocesan prayer diary
- Assist with preparation of reports, internal and external communications (including ‘Ad Clerum’ and ‘To the people)’, presentations, and other documents
- Research as directed
- Assist with preparing for calendar events
- Filing
- Booking of travel and accommodation
SUPPORT TO THE DIOCESAN SECRETARY & ARCHDEACON
- Prepare and maintain the diocesan telephone directory, diocesan calendar, and meeting schedule
- Print orders of service for diocesan events e.g. Synod, Mothers Union, Ordinations
- Assist with the preparation of Synod (e.g. gathering and collating of reports and motions, preparation of name badges, delegate packs, booking and ongoing liaison of a suitable venue etc.)
- Organise catering for diocesan events and in-house meetings
- Receive and collate information from annual returns
- Maintain the diocesan website and social media
- Assist with the preparation of board/meeting packs
- Travel and accommodation bookings
- Filing
BOOKKEEPING
- Record financial transactions for 5-6 small parishes on MYOB
GENERAL ADMINISTRATION
- Proactively work to improve operational efficiency
- Ensure that procedures and polices relevant to this role are well documented and up to date
- Order stationery
- Assist Diocesan Administration Team with other tasks as required.
Qualifications and Experience:
The successful applicant will have:

Experience in the following areas is desirable but not essential:
- Basic bookkeeping using MYOB or similar
