The Role:

This position will provide a wide range of administrative support to the business, preparing and maintaining all administrative process and sustaining a high level of customer service with our internal and external stakeholders.

Key Responsibilities & Performance Indicators:

  • Assist the sales team by establishing and / or maintaining all sales records requirements within internal systems including but not limited to: sales orders; supplier details; purchase orders & invoicing customers.
  • Prepare, maintain and issue job traveller, job documentation, job folders and update build schedules
  • Prepare and distribute minutes of meetings
  • Assist the team in coordinating vehicle deliveries & communication with our customers.
  • Update National service provider with delivered vehicle reports.
  • Assist with procurement of goods from local & international suppliers.
  • Communicate with logistic companies to coordinate inbound goods.
  • Inbound Container receipting, and the updating of pricelists & inventory lists
  • Manage Front reception, office supplies & sales documentation
  • Account payable & receivable
  • Liaising effectively and courteously with customers, suppliers & team.

 

To be successful in this role, you will need:

  • Demonstrated experience (preferably 2- 4 years) in Automotive aftersales, Automotive administration or manufacturing administration
  • Ability to work in team environment or autonomously
  • Capability to work in a high-paced environment 
  • Excellent communication skills
  • Sound data entry and accuracy skills
  • Intermediate computer skills, in particular MS excel
  • Excellent time management skills

 

Other valuable skills you may have:

  • Previous experience with Epicor Software
