A well-established and professional psychologist is looking for a casual/part-time Personal & Administrative Assistant for an immediate start. You will assist with a wide range of duties and work very closely with the practice owner for a variety of professional and personal matters.

 

Duties & Responsibilities:

• General administration duties – maintaining client records, correspondence, scanning/photocopying, archiving, physical and digital file and storage management etc.

• Diary/schedule management and client appointments.

• Liaising with clients, medical practitioners, colleagues and other business partners.

• Processing bill payments, Medicare claims, NDIS and client invoices.

• Maintaining tidiness and cleanliness of the practice.

• Maintaining strict confidentiality.

• Prepare and send client newsletters, marketing and practice updates.

• Create event flyers and manage multiple contact lists.

• Maintain the practice operations manual.

• Other administrative and personal support tasks as required.

 

Desired Skills & Experience:

• Prior experience working as a personal assistant/admin assistant/receptionist.

• Mac computer experience.

• Warm professional disposition essential.

• Punctual and reliable.

• Able to work independently.

• Proficient with MS Office, Zoom, Whatsapp and other business applications.

• Good understanding of office technology.

• Quick learner.

• Exceptional attention to detail.

• Highly organised.

• Highly professional in all forms of communication and excellent interpersonal skills.

• Experience in a role demanding strict confidentiality.

• Coreplus or other practice management software experience an advantage.

•  Excellent English verbal communication skills.

•  Highly proficient in English writing skills.

•  Able to formulate professional communications and documents.

•  Experience in report writing.

 

This highly diverse role offers flexible hours with mostly independent work in a relaxed office environment. For the successful applicant, this position can be on either a casual or a part-time basis (depending on preference), and is approximately a minimum of 20 hours per week, based on-site in East St Kilda.
