Reporting to the Operational Technology (OT) Project Delivery Manager, the role of OT Project Support Officer will see the successful applicant responsible for providing administrative support to the Project teams along with the scheduling of project related activities in accordance with work plans that optimise time and resource constraints, and meet the needs of all key stakeholders.

Key Responsibilities:

  • Providing administrative support to Project Managers, maintaining registers and attributes
  • Creation and maintenance of project schedules in MS Project/Project Server
  • Advise on compliance and requirements to the Project / Program Managers and assist them in meeting requirements
  • Provide support to the project review process, working with PMO Analysts to ensure projects successfully commence on time
  • Assist with identifying, logging and tracking project risks and issues
  • Track project documentation and maintain the project document library, ensuring documents are named and stored according to guidelines
  • Maintain the project’s deliverables Matrix and RASCI
  • Adhere to all internal financial processes and policies including the approvals and processing procedures
  • Assist with and manage the month end accruals process for projects
  • Raise purchase orders and receipt invoices in the Oracle financials system
  • Assist with financial reporting of projects to the Portfolio Office
  • Work with the IT Resource Analyst and Resource Managers to coordinate the on and off boarding process for project team members, including organising desks and equipment.


  • Relevant trade or tertiary qualifications in an appropriate Engineering discipline / IT and/or Business (Preferred but not essential)
  • At least 5 years of previous experience working in a project coordination and providing administrative assistance on a range of projects with budgets up to $10m+
  • Previous exposure to and experience in heavy industry, specifically in Operational Technology environments such as; gas transmission or processing, LNG, chemical processing, power generation, renewables or utilities
  • Advanced MS Office application skills (intermediate MS Project)
  • Advanced time management, prioritisation and organisational skills
  • Advanced written and verbal communication skills
  • Advanced interpersonal and collaboration skills
  • Strong levels of engagement, resilience and
  • Kknowledge of project management lifecycles and development methodologies
  • Financial tracking and reconciliation skills
  • Experience of stakeholder management and coordination
  • Well developed influencing and conflict resolution skills
  • Presentation and facilitation skills
  • Intermediate decision making and adaptability skills
  • A basic understanding of financial management and accounting processes
  • Basic understanding of resource planning and capacity management
  • Previous exposure to Project Management methodologies.
