Small World Journeys is a Cairns-based student educational tour operator with a heart of green. We are a tiny tourism company that has finally come out of hibernation post-COVID and our domestic business is returning. We are professional (but shoes are optional in the office), hardworking and we like to laugh.  We are a small team that values your knowledge of the Cairns tourism industry, your computer skills, and your hyper attention to details. We have won state and national tourism awards and we have had hundreds of happy customers. We are now looking for a second GROUPS COORDINATOR to join our team. 


  • Main duty is to make bookings and arrangements for our multi-day student group trips—being proactive, communicative and organised through the whole process
  • Communicating with teachers regularly about their trips, answering questions and writing their detailed itineraries
  • Having a comprehensive understanding of Cairns tourism industry: accommodation, restaurants, reef boats, Indigenous experiences, etc.
  • Correspond with suppliers to keep rates, insurances, and risk assessments current in system and following an organised way of tracking this
  • Update our CRM in a consistent, organised fashion
  • Meet groups at the airport and give the safety orientation; collect evaluations at the end of the trips and debrief with the teachers
  • Create and reconcile trip budgets in Excel
  • Prepare equipment to go out on a trip; then clean and organise equipment after a trip returns 
  • Be fully dedicated to a high level of customer service and relationship building with customers and suppliers
  • Visit trips and occasionally participate/supervise to understand the structure and content of your trips
  • Collect post-trip data on bus mileage, amount trees planted, rubbish collected from mangroves, etc. and compile reports for our carbon offsetting
  • Although not required for this position, already having a Light Rigid (LR) license is a bonus. If you don’t have it when hired, we would like you to be prepared to obtain one (cost of license test covered by Small World) 


  • Are a ridiculously organised person – details are your thing. You keep your desk tidy, you write things down, you use your calendar and online tools to keep your commitments and manage your time & tasks. You don’t leave things undone. 
  • Know the Cairns tourism industry well
  • Live a “green” lifestyle and are excited to work for a small company that is focused on the environment and community. If you are still buying plastic water bottles then you are not a good candidate for our team
  • Oh, and did we mention you’re organised? You can handle hundreds of details because you’re the person who knows if someone moved your pen. The clothes in your closet are arranged by colour.  The label maker is your best friend. 
  • Have some cool dance moves (we have a disco ball in our office)



  • The terms and conditions of your employment will be those set out in the Clerks Private Sector Award 2020 (Full Time, Level 4) A copy of this award is available for your review at Your employment is also governed by the Fair Work Act 2009 and the National Employment Standards.
  • Full Time: 38 hours a week
  • Pay is above award rate; penalty rates apply
  • We are flexible with the hours of work and ask the same of your, but typical schedule is 9-5, Monday to Friday with an occasional Saturday or Sunday when groups are arriving/departing
  • Full time employees accrue an hour a week to volunteer in the community on company time
  • Employees receive a bonus every time a group re-books
  • Every month full time employees are entitled to $75 to be used towards any program or service that promotes mental health
